Technical Writing: What to do? Interview!

KEYBOARDMany of us struggle to get the technical professionals on our team to be enthusiastic about writing.  We beg, plead and bribe to encourage them to aid in the proposal process and often are met with considerable resistance, procrastination or outright contempt.  If this is your experience, take a moment to walk in their shoes.

Writing is often very challenging for a technical professional.  They most likely weren’t asked to write very much as a part of their education and training, and they have probably done very little writing since completing their education.  So what do you do when you have a deadline and you need technical know how?  You interview!

When preparing proposals, editorial content or marketing materials, do yourself a favor and conduct brief interviews with your technical staff to get the information you need.

1.    Plan carefully so that you know which questions you will need to ask.
2.    Schedule a set time and provide the questions well ahead of time so that your subject can prepare.
3.    Be on time to your appointment.  This shows you respect their time and they will appreciate you as a professional.
4.    Listen and take detailed notes so you get everything you need the first time.  Taking notes on your computer and recording the interview will help you capture every morsel of knowledge they have to offer.
5.    Write a draft and ask for your subjects’ feedback until you reach a final document that is both concise, engaging and technically accurate.

If you follow these five tips, you will become a valuable resource to your firm.  Few A/E/C marketers can conduct a technical interview, gain the needed information and write a high-quality proposal, article or white paper for publication.  When you become one of the few, you will gain respect and thanks from your colleagues for removing such a daunting and time consuming task from their to do list.

Business Man on ClockGreenbuild 2009 is heading to the American Southwest!  Arizona is a region with unique environmental and social challenges and opportunities, and the imperative is clear: Green building can and must come home to all people, boosting the quality of life on main streets across the country and around the world.

Strengthening Your Talents for Success

strengthsquestIf you studied marketing or communications, or even took one of these types of classes in college, you probably were introduced to a myriad of tests claiming to pinpoint your unique personality, communication style and various other characteristics.  I’ve taken everything from the Myers-Briggs Personality Type Indicator to paralleling my tendencies to an orangutan rather than a Golden Retriever.

A few years ago I was introduced to another test.  Reluctant at first because of my immense, intimate exposure to these types of tests, my mind quickly changed after interpreting the results and reading the accompanying book.

Gallup Poll, a division of The Gallup Organization, which regularly conducts public opinion polls in more than 140 countries, developed a StrengthsQuest test and book. The premise of this test is based on the concept of strengths and talents.

According to StrengthsQuest:

“A strength begins with a talent [...] a naturally recurring pattern of thought, feeling, or behavior that can be productively applied.  A great number of talents naturally exist within you, and each of them is very specific. [...] A talent represents a capacity to do something” (Clifton and Anderson, 2002, p. 6).

Strengths are developed into talents, the authors say.  “A strength is the ability to provide consistent, near-perfect performance in a given activity. [...] strengths are produced when talents are refined with knowledge and skill” (Clifton and Anderson, 2002, p. 8).

The Clifton StrengthsFinder, a 180-question timed test, determines your top 5 strengths out of 34 themes they have identified from their research.  These themes are listed at the bottom of page 3 of StrengthsQuest.

The test and program were originally developed for college students and educators, but if you failed to have exposure to this (like most people), I would highly recommend taking the test online and purchasing the book that comes with a unique online code to take the test.  The subsequent enlightenment about yourself and why you operate the way you do is well worth the $24 cost.  I still refer back to my top 5 themes when I see patterns in my performance throughout the weeks.

Perhaps identifying strenghts on your design and construction teams could increase team synergy?  I’d be interested in hearing any testimonies of implementing such a strategy.

In the meantime, can anyone guess my top 5 themes?
